Frequently asked questions

Whether you’re just getting started, trying to clean up what already exists, or preparing for your next stage of growth, you don’t have to know exactly what kind of help you need before contacting Prosperity Works. Explore some of the questions we hear most often below.

Getting Started & Pricing

What does Prosperity Works do?

Prosperity Works provides bookkeeping, accounting support, financial operations, and business consulting for small businesses and nonprofit organizations.

We go beyond recording transactions. Our goal is to help you build reliable systems, understand your numbers, and create processes that support your organization as it grows.

Services may include bookkeeping, accounts payable and receivable, payroll coordination, financial reporting, cleanup and catch-up work, system implementation, workflow development, and ongoing financial operations support.

How much do your services cost?

There is no one-size-fits-all package.

We build each scope around your organization’s needs, systems, transaction volume, staffing, and budget.

We’ll work with you to prioritize what matters most and, whenever possible, design a scope that fits within your budget. You may start with essential services and add support as your organization grows.

Our goal is to provide the right level of support, not sell you more than you need.

Do you require a long-term contract?

No. Our ongoing engagements are month-to-month and can be ended with 30 days’ notice.

We believe clients should stay with Prosperity Works because the relationship is working and we are providing value, not because they are locked into a long-term contract.

Can I hire Prosperity Works for a one-time project?

Yes.

Not every accounting challenge requires an ongoing engagement. We can provide project-based support for needs such as bookkeeping cleanup and catch-up, accounting system setup, chart of accounts redesign, workflow development, nonprofit accounting structure, reporting improvements, and procedure or SOP development.

If the project uncovers a need for ongoing support, we can discuss options, but there is no obligation to continue.

Is my business or nonprofit too small, or too large, for Prosperity Works?

There is no minimum size required to benefit from good financial systems.

We work with organizations at different stages: from a founder just getting started to established businesses and nonprofits with employees, multiple programs, complex accounting needs, or internal finance staff.

If you are small, we can help you start with a strong foundation without creating unnecessary complexity or expense. Putting the right systems in place early can prevent costly cleanup later.

If you are growing, we can help strengthen the processes, reporting, controls, and financial infrastructure needed for the next stage.

And if you already have an accounting or operations team, we can fill gaps, tackle special projects, improve systems, or provide additional expertise and capacity.

Size isn’t the deciding factor. What matters is what your organization needs and whether Prosperity Works can provide meaningful value.

Can you help before there’s a problem?

Absolutely, and that’s often the best time to start.

You don’t have to wait until your books are behind, cash flow is tight, or your systems have become unmanageable.

For new and growing organizations, we can help establish the accounting structure, technology, workflows, reporting, documentation, and financial controls you need now while considering what you may need later.

Starting with a strong foundation is usually easier and less expensive than rebuilding one after problems develop.

Start well. Stay steady. Be ready to grow.

Can you help if I don’t know what’s wrong?

Absolutely.

You don’t need to diagnose the problem before contacting us.

Sometimes a client knows the books are wrong. Other times, they simply know things take too long, reports aren’t useful, cash always feels tight, information is difficult to find, systems don’t communicate, or nobody is quite sure who is responsible for what.

We can look at the bigger picture, identify where breakdowns or inefficiencies are occurring, and help prioritize what should be addressed first.

Sometimes the answer is bookkeeping. Sometimes it’s the process, technology, reporting, staffing, or controls surrounding it.

Figuring that out is part of what we do.

Bookkeeping & Financial Management

Will I understand my financial reports?

That’s the idea.

We help you understand what your reports mean, what deserves attention, and what questions to ask. Financial statements should support decisions, not simply be filed away each month.

The three reports to read every month, and what each is for

Can you clean up bookkeeping that is behind or inaccurate?

Absolutely.

We help organizations address overdue books, unreconciled accounts, incorrect balances, and poorly configured systems. We’ll assess the current situation, identify priorities, and create a practical cleanup plan.

No judgment. We start where things are and work forward.

Your books are behind. Here is what to do first.

Can you help my business capture legitimate tax deductions?

Yes. Good tax planning starts with good bookkeeping.

Proper categorization and documentation can make a significant difference in whether your tax professional can easily identify and support legitimate business deductions. We structure your books so expenses are recorded accurately and with enough detail to make tax preparation and planning more effective.

When we identify something that may apply, we can flag it, help establish the bookkeeping and documentation needed to support it, and coordinate with your CPA or tax professional to determine the appropriate tax treatment.

Our goal isn’t aggressive tax avoidance. It’s making sure legitimate business expenses and opportunities aren’t missed simply because the books weren’t set up to capture them.

Prosperity Works does not provide legal or tax advice. Tax positions and strategies should be reviewed with your qualified tax professional based on your individual circumstances.

Can you work with our existing CPA or tax preparer?

Yes, and we value collaboration.

In fact, we believe your bookkeeper and tax professional should work together.

Throughout the year, we can maintain organized records, identify questions that deserve your tax professional’s attention, provide reports and supporting schedules, and help make tax planning and year-end preparation more productive.

That means your CPA or tax preparer can spend less time untangling the books and more time providing the specialized tax expertise you’re paying them for.

Prosperity Works does not replace legal, tax, or audit professionals when specialized services are required.

Can you help with budgeting and cash-flow planning?

Yes.

A budget can help you set priorities, monitor performance, and identify problems before they become urgent. Cash-flow planning can help you understand when money is expected to come in, when obligations are due, and where timing may create pressure.

Depending on your needs, we can help develop budgets, cash-flow forecasts, budget-to-actual reports, scenario models, and recurring review processes.

Profitable on paper, empty in the bank

Can you help us understand profitability?

Yes.

Revenue alone does not tell the whole story. We can help you examine margins, direct and indirect costs, service lines, programs, customers, projects, locations, or other areas of activity.

For nonprofits, this may include understanding the financial performance of programs, events, grants, or funding sources while considering restrictions and mission-related goals.

The purpose is not to reduce every decision to a single number. It is to give you better information for making thoughtful decisions.

What your numbers can tell you about pricing, and what they cannot

Can you help with payroll?

We can help coordinate payroll-related accounting and processes, including payroll reconciliations, payroll journal entries, reporting, timekeeping workflows, and communication with your payroll provider.

We can also help clarify responsibilities and improve the connection between payroll, accounting, budgeting, and reporting.

Payroll tax filings and legal compliance may require a payroll provider or qualified tax professional, depending on the engagement.

Can you help with accounts payable, bill payment, or reimbursements?

Yes.

We can help establish or manage processes for receiving bills, collecting approvals, scheduling payments, documenting expenses, processing reimbursements, and maintaining appropriate records.

Clear approval and payment workflows can improve cash management, reduce errors, and strengthen internal controls.

Can you help with accounts receivable, invoicing, or collections?

Yes.

We can help with invoicing workflows, customer or grant receivables, payment tracking, deposits, aging reports, and follow-up processes.

For nonprofits, this may include grant receivables, pledges, sponsorships, event revenue, and other amounts due to the organization.

Nonprofit Accounting & Operations

Do you specialize in nonprofits?

Yes. Nonprofit accounting and operations are an important part of our practice.

We help nonprofits maintain accurate records while tracking restricted funds, grants, programs, donations, and other mission-related activity.

Support may include:

  • Fund, program, grant, and restricted-fund tracking
  • Donor and contribution accounting
  • Grant, event, and fundraising reporting
  • Donation platform and donor database workflows
  • Reconciliation between donor systems and accounting records
  • In-kind contributions and other nonprofit-specific transactions
  • Board and management reporting
  • Budget-to-actual reporting
  • Chart of accounts design
  • Internal controls and financial procedures
  • Accounts payable, reimbursements, and approval workflows
  • Audit, tax, and year-end preparation support
  • Historical cleanup and documentation

We can also work alongside your CPA, auditor, grant professionals, board members, and internal staff.

What a funder actually reads in your financial report

Can you help us prepare for an audit, review, or tax filing?

Yes.

We can help organize financial records, reconcile accounts, prepare supporting schedules, document procedures, and identify missing information before your CPA, auditor, or other professional begins their work.

For nonprofits, this may include preparing grant schedules, contribution records, restricted-fund information, board reports, and other documentation commonly requested during an audit or review.

We do not perform independent audits or replace your CPA or auditor. Our role is to help make the process more organized, efficient, and less disruptive.

Your first audit: what actually gets asked for

Can you help with donor management and fundraising systems?

Yes.

The accounting system is only one piece of nonprofit financial operations. We can help evaluate and improve the flow of information between donor management systems, fundraising platforms, payment processors, bank deposits, and the accounting records.

That may include donor and contribution workflows, reconciliation procedures, campaign or event tracking, restricted-fund coding, external gifts, and processes for making sure fundraising activity is accurately reflected in the financial statements.

We can also help evaluate donor management, CRM, and fundraising platforms based on your organization’s needs, budget, reporting requirements, and growth plans.

Can you help us improve nonprofit financial reporting for our board or funders?

Yes.

Different audiences need different information.

We can help develop financial reporting that gives management, boards, grantors, and other stakeholders clearer insight into the organization’s financial position, program activity, budget performance, restricted funds, and other relevant measures.

The goal is to turn accounting information into reporting that people can actually use.

Systems, Technology & Internal Controls

Can you help us choose, set up, or improve our accounting and operational systems?

Yes.

The right technology can save time, improve accuracy, strengthen controls, and give you better information. The wrong technology, or several systems that don’t work well together, can create more work than it solves.

Prosperity Works can help evaluate, select, implement, and improve the platforms that support your financial operations.

Depending on your organization, that may include:

  • Accounting software
  • Donor management and CRM systems
  • Donation and fundraising platforms
  • Grant and fund tracking tools
  • Accounts payable and bill payment platforms
  • Expense and credit card management systems
  • Payroll and timekeeping systems
  • Invoicing and accounts receivable tools
  • Document management and receipt capture
  • Budgeting and financial reporting tools
  • Workflow, approval, and task-management systems
  • Integrations and automation between platforms

We don’t believe technology should be selected simply because it is popular. We look at your organization’s size, budget, reporting requirements, existing processes, internal resources, and plans for growth.

When possible, we also consider how your systems communicate with one another so information doesn’t have to be entered repeatedly into multiple platforms.

The goal isn’t to give you more software. It’s to build a technology stack that makes your organization easier to run.

Choosing accounting software is the last decision, not the first

Do you work with accounting systems other than QuickBooks?

Yes.

QuickBooks is common, but Prosperity Works is not limited to one platform. We can work with the systems your organization already uses and help evaluate whether they still meet your needs as you grow.

We are also comfortable working with industry-specific accounting and operational platforms and learning the systems that are important to your organization.

Will you make us change all of our current systems?

No.

We don’t believe in changing systems simply for the sake of change.

We start by understanding what you already use, what works well, where the frustrations are, and what your organization actually needs.

If an existing system is doing its job, there may be no reason to replace it. Sometimes the better solution is improving the configuration, workflow, integration, training, or procedures around the technology you already have.

When we do recommend a change, we’ll explain why, what problem it is intended to solve, and what the transition would involve.

Technology should serve your organization, not the other way around.

Can you help us improve internal controls?

Yes.

Internal controls do not have to be complicated to be effective. We can help identify practical ways to reduce errors, protect assets, clarify responsibilities, and improve accountability.

Depending on your organization, this may include approval procedures, segregation of duties, access controls, reconciliations, documentation, review processes, and board or management oversight.

Can you help us create procedures so everything isn’t dependent on one person?

Yes.

We document workflows, responsibilities, approval processes, recurring tasks, and accounting procedures so your organization can operate more consistently, even when staff, volunteers, vendors, or leadership change.

Good documentation also makes training easier and helps preserve institutional knowledge as your organization grows.

How do you protect our financial information?

We use secure systems and established procedures to help protect client information. We also encourage clients to use strong passwords, multifactor authentication, appropriate user permissions, and secure methods for sharing documents.

Specific security practices depend on the systems involved and the scope of the engagement.

Operations, Advisory & Growth

What makes Prosperity Works different from a traditional bookkeeper?

Traditional bookkeeping asks whether transactions were recorded correctly. We also ask whether the system is efficient, understandable, and built to support your organization as it grows.

Prosperity Works combines bookkeeping with operational problem-solving. We may improve workflows, reporting, technology, approval processes, or documentation, not just enter transactions.

Sometimes the accounting isn’t the real problem. The process behind it is.

Do you provide CFO or business advisory services?

Our work can extend beyond bookkeeping into financial operations and business advisory support.

Depending on the engagement, this may include budgeting, cash-flow planning, financial analysis, process improvement, system design, profitability analysis, and management reporting.

Can Prosperity Works help us scale?

Yes. In fact, we believe your financial systems should be built with growth in mind.

Growth often exposes processes that worked when an organization was smaller but become inefficient, unreliable, or difficult to manage as transaction volume, revenue, employees, programs, grants, customers, or locations increase.

We help identify those pressure points before they become bigger problems.

That may include improving workflows, automating repetitive processes, establishing internal controls, documenting procedures, restructuring the chart of accounts, improving management reporting, evaluating technology, developing budgets and cash-flow tools, defining accounting responsibilities, and preparing for additional staff or outside professionals.

For nonprofits, scaling may also mean preparing for larger grants, more complex funding restrictions, additional programs, increased donor activity, expanded reporting requirements, or greater board oversight.

The goal isn’t simply to keep up with growth. It’s to build financial systems that can support it.

Can you train me or my team?

Yes.

Our goal is not to make your organization dependent on us.

We can train owners, managers, employees, nonprofit staff, and other team members on the financial systems and processes they are responsible for using.

Training may include accounting workflows, financial reports, accounts payable and receivable procedures, expense documentation, donor systems, software platforms, internal controls, month-end responsibilities, or newly implemented procedures.

We can also create written procedures, checklists, and SOPs so your team has something to refer back to after training.

Good systems work best when the people using them understand both what to do and why they’re doing it.

Working With Prosperity Works

Can Prosperity Works work with our internal staff?

Absolutely.

We can serve as your outsourced accounting function, supplement an existing team, train staff, or manage specific parts of your financial operations.

The right structure depends on your organization’s needs.

Do I need to hire a full-time bookkeeper or accounting employee?

Not necessarily.

Many small businesses and nonprofits need experienced financial support but do not yet need, or have the budget for, a full-time accounting department.

Prosperity Works can provide an outsourced solution tailored to the level of support you actually need. That might mean handling day-to-day bookkeeping, overseeing specific accounting functions, supporting your existing staff, or providing higher-level financial and operational guidance.

As your organization changes, our role can change with it. The goal is to build the right accounting function for where you are now without losing sight of where you are going.

Do you work with clients outside Los Angeles?

Yes. Prosperity Works is based in Los Angeles and works with businesses and nonprofits across the United States.

Because most of the work happens through secure cloud-based systems and video meetings, location is rarely a constraint.

Do you work remotely?

Yes. Most services can be provided remotely through secure cloud-based systems, video meetings, and shared workflows.

Onsite support may also be available for certain engagements.

Who is a good fit for Prosperity Works?

We work well with organizations that want more than transaction entry.

Our clients value accurate information, communication, collaboration, and better systems. They may be growing, cleaning up past accounting issues, building an accounting function, or realizing that their current processes no longer work.

You do not need to have everything organized before contacting us. That’s often where we can help.

Are there clients Prosperity Works may not be the right fit for?

Yes.

We may not be the best fit if you are looking only for the lowest-cost transaction-entry service, are unable to provide the information needed for accurate records, or are not interested in improving recurring process problems.

We believe bookkeeping works best as a partnership.

What happens when I contact Prosperity Works?

We start with a conversation about your organization, current systems, challenges, and goals.

Then we’ll recommend priorities and a scope of services based on your needs and budget.

You do not need to know exactly what support you need before contacting us. Figuring that out is part of the process.
